General Description:

Advancement Services Coordinator for Montreat College is responsible for receiving, recording and legally receipting charitable contributions to the college, in accordance with donor intent, Montreat College policy, and IRS rules and regulations. 

The work involves complex gift entry, which requires significant attention to detail.  A high degree of judgment is involved in establishing accuracy of information and correct coding and integration of incoming data.  Excellent computer skills and understanding of relational databases is necessary in order to discern whether the database is operating as expected.

Specific Responsibilities:

  • Record gifts and pledges to the proper accounts
  • Prepare daily reconciliation of checks, cash, and charges and run reports for Finance Office
  • Prepare acknowledgement/receipt letters
  • Run periodic reports on gift activity.
  • Maintain, add, and update biographical data received as part of gifts sent to the college
  • Insure accuracy and format of names in the Annual Report, donor list, and invitations. 
  • Maintain mailing list
  • Track outstanding pledges and produce pledge reminders as appropriate
  • Data entry for follow-up on events and mailings
  • Maintain Advancement Office petty cash and credit card receipts.
  • Receipt event registration fees
  • Process monthly EFT transactions
  • Produce direct mail and phoneathon information
  • Plan and coordinate the mailing of greetings cards (birthday, anniversary, etc)
  • Assist in the development and maintenance of a donor recognition program
  • Update and maintain department's presence on the Internet
  • Work with Director of Advancement Services and Advancement team in compiling required information for grant applications.
  • Serve as a member of the Advancement Team providing assistance in Advancement activities as needed

    Qualifications:
  • Experience with computer systems, relational databases, Microsoft Office.
  • Experience with Raiser's Edge preferred but not required  
  • Strong proofreading, spelling and editing skills
  • Ability to maintain confidentiality
  • Ability to work independently as well as establish and maintain effective relationships with other staff, faculty, students, alumni, volunteers, and donors.
