Duties and Responsibilities
File Evaluation/Acceptance into SPAS Program
- Evaluate new student files for review of credits into Montreat College SPAS.
- Coordinate and send to students appropriate acceptance/denial letters.
- Advise students of evaluation results and options prior to starting SPAS program.
- Prepare and send copies of student files to Registrar with start of new cohort.
- Evaluate NCA and military credit.
Academic Advising & Counseling
- Advise and counsel students on successful degree completion plans.
- Answer students’ questions regarding their files, approval of courses, registration, withdrawal, re-entry, and special courses.
- Counsel individual students in assigned cohorts regarding academic progress, study group interaction, and study group size.
- Conduct orientation, new student advising, and mid-term advising.
- Counsel students regarding accounting issues, DANTES & CLEP testing, NCA, program changes, graduation requirements, prior-approval for non-Montreat courses, and schedule adjustments.
- Approve withdrawal and drop in students into perspective cohorts.
- Assist with quarterly Class Representative meetings to relay information to students, encourage participation in Montreat College community activities, and to listen to and monitor student issues and concerns.
- Help desk for students – handle general student issues.
Program Evaluation & Recommendation
- Monitor assigned cohorts’ sizes to make recommendations to the Regional Director for merging or dissolving cohort groups.
- Attend regular staff meetings with the Asheville Regional Director, the Student Services division, the Registrar’s office and the financial aid office to stay abreast of current problems and to make recommendations for policy changes.
Administrative/Paperwork
- Oversee and maintain all applicant and student files of assigned cohorts. Copy original documents for files and keep files up to date.
- Maintain student records and progress toward graduation from various undergraduate degree programs.
- Maintain accurate and updated rosters for assigned cohorts.
- Handle registration, withdrawal, and other forms relevant to course and student demographic changes.
- Post information regarding deadlines and other pertinent dates for courses, exams, and graduation.
- Work with accounting, financial aid, registrar, and enrollment services offices regarding student accounts.
- Track weekly attendance in study group, class, and final attendance record for course.
- Administer DANTES and MAT tests periodically.
- Enter student information into PowerCampus.
- Do LOA paperwork for non-financial aid students.
