Data Consistency and Database Editing

 From The Journal, Oct 2005

Routine guidelines and structures for data entry must be in place and followed.

Shortcuts to getting work done need to never happen when dealing with data entry.  Dirty data results from data-entry shortcuts, misinterpretations / misunderstandings, and carelessness due to personal preferences of the individual inputting the data.  The data entry person must understand the importance not to deviate from data entry guidelines even if they think they have discovered a more efficient way.  Efficiency can be improved, but ALL changes to data entry process needs review and approval.

Data cleansing must become the responsibility of each individual playing a role in data creation.

When requesting data:

  • Use a standard form to request data

  • Be specific about the information sought

  • State the purpose for the request

  • Explain how the data are needed

  • Inform as to how often the data will be requested.

All data entry process needs approval of the IT department.
